When you send files with Document Security to a recipient who doesn't have a Digify account, the recipient will be given the option to create a free account (previously known as free viewer account), as seen in this pop-up:

Why should I give my recipients the option to create a free account?

With a free account, your recipient will be able to do the following:

  • Access the file (and any other files sent to them using Digify) by signing in to their Digify account, instead of entering one-time email verification codes each time they want to access a file

  • View a consolidated list of files that were sent to them using Digify

  • Access any data rooms where they have been added as a guest, as an account is always required to access data rooms on Digify for security and tracking purposes


What if I don't want to give my recipients the option to create a free account?

If you are the admin for your Digify plan, you may disable the above pop-up from showing. This will remove the option for your recipients to create a free account on Digify.

However, please note that by disabling this feature:

  • Your file recipient will have to verify their identity using one-time email verification codes every time they access the file. This may create inconvenience for your recipient as they will be required to check their email for the verification code every time.

  • You will be removing the option for file recipients to create a free account across your entire Digify team, as this is a universal setting that applies to your entire team.


How to enable/disable the pop-up asking file recipients to create a free account

Step 1: From your dashboard, find your name and avatar in the top-right and click on it. In the dropdown menu, select Admin Settings.

If you don't see Admin Settings in the dropdown menu, this means you are not the admin for your Digify plan and cannot disable the pop-up. Please contact your team admin.

Step 2: In the Admin Settings page, look for DOC SECURITY and click on it.

Step 3: Under ACCOUNT CREATION FOR FILE RECIPIENTS, click on the Disable free account creation or Enable free account creation button.

Step 4: A pop-up window will appear, asking you for confirmation to disable free account creation. To continue, click on the Disable prompt or Enable prompt button.
