How Terms of Access works with different Access settings

You can use Terms of Access to require your recipients to agree to a set of terms before they can view your files.

This feature can be used to enact a non-disclosure agreement to prevent your recipients from sharing information without your authorization.

Depending on your file's Access settings, your recipients may be required to only accept the Terms of Access once, or they may have to accept the Terms of Access every time they access your file.

How Terms of Access works with different Access settings

If your file's Access is set to:

  • Only people I specify

  • Only people from email domains I specify

  • Anyone with the link (with email verification)

Then your recipient will need to do the following before they can view your file.

  1. Verify their email after clicking on the link to the sent file.

  2. Accept the Terms of Access once. Once accepted, they will receive an email with the agreed legal terms. The Terms of Access will not appear again for this recipient as they have already accepted the legally binding terms.

If your file's Access is set to Anyone with the link (no email verification):

  • Your recipients are not required to verify their email. Hence, the system cannot validate the recipients' email addresses.

  • Therefore, each recipient will always have to accept the Terms of Access every time they access the file. In this case, the Terms of Access will be provided as a recurring legal notice. It's not meant to be taken as a legally binding agreement.

If it is important to you to have a legally binding Terms of Access, we recommend that you set your file's Access to a setting that requires email verification (i.e. Only people I specify, Only people from email domains I specify, or Anyone with the link (with email verification)).
