Request Access to a Data Room or Specific Items

If someone tries to open a data room or file they don’t have access to, they can submit a request for access. This article explains how the process works for both recipients and data room owners or co-owners.

When a Recipient Requests Access

When a recipient opens a data room link or a file link they don’t have access to, an Access denied message will appear:

To request access:

  1. Send a request with a message — the recipient can include a short note explaining why they need access.

  2. Submit the request — the data room owner and co-owner will receive an email notification about the access request.


How the Owner or Co-Owner Reviews the Request

When a request is submitted, both the data room owner and co-owner will be notified.

  1. You’ll receive an email notification containing:

    • The requester’s name and message

    • A Review Request button

  2. Click Review Request to open the Guests → Access Request page in the specific data room.

  3. From there, you can view all pending requests.

  4. To respond:

    • Click Approve or Deny for each request.

    • When approving, you can:

      • Choose the permission level (e.g., View, Download, Print).

      • Or check ✅ Grant access to entire data room to allow access to all items.

  5. Once approved or denied, the recipient will automatically receive an email notification with the decision.


Managing all Access Requests for a Data Room

Under Guests → Access Requests, the owner or co-owner can manage all requests for the data room.

You can:

  • View all Pending requests.

  • Select multiple requests to approve, deny, or delete in bulk.


Tip

If you want to assign a guest to a group or set granular permissions, you should:

  • Invite the guest directly, or

  • Edit the guest’s permissions under the Guests page.

Approving a request only grants a single permission—either for that specific file or, if checked, for the entire data room when “Grant access to entire data room” is selected.
