How to view & export analytics of your sent files

For files sent with Document Security

After sending your files with Document Security, you can keep track of what your recipients are doing with them. This means real-time information on:

  • Whether your file has been viewed, printed, or downloaded (and if so, how many times and by who)

  • Who, where, how many times and for how long your file has been accessed

File tracking and analytics feature is available for all paid plans. This feature is also available for data rooms. Learn about data room analytics

💡 Pro Tip: You will be notified via email every time a recipient views, prints, or downloads a file that you own. This is enabled by default.

If you wish to disable this feature, go to your dashboard > Click on your name in the top-right corner > My Settings > General > Notifications > Click on the toggle to disable.

How to view analytics for a sent file

Step 1: From your dashboard, click on Manage Sent Files in the left sidebar.

Step 2: Select the specific file.

Step 3: Click on the three dots (...) for the file and select Analytics.

Alternatively, in the floating menu that appears, click on Analytics.

The specific analytics available for the file will depend on the security settings that you've applied.


How to export analytics for a sent file

You can export analytics for a sent file in an Excel file (.xlsx), which will contain the following:

  • Date and time of each activity

  • Name of each of the recipient(s)

  • Email address of each of the recipient(s)

  • Location of each of the recipient(s)

  • IP address of each of the recipient(s)

  • Action taken and duration of action taken by each of the recipient(s)

To export the analytics for a sent file, follow these steps.

Step 1: From your dashboard, click on Manage Sent Files in the left sidebar.

Step 2: Select a specific file.

Step 3: Click on the three dots (...) for the file and select Analytics.

Alternatively, in the floating menu that appears, click on Analytics.

Step 4: Click on the Export analytics button. The analytics for that sent file will be downloaded to your device as an Excel file (.xlsx).



What analytics can I get for each sent file?

You can view the following analytics for each sent file:

  • Recipient’s name or email address (depending on your access setting)

  • Total number of views & number of views per recipient

  • Total viewing duration & viewing duration per recipient

  • Total number of prints & number of prints per recipient

  • Total number of downloads & number of downloads per recipient

You can also expand each recipient to view their details:

  • Their activity (View, print and/or download)

  • Date and time for each of the activity (if applicable)

  • Where they viewed the sent file from (i.e. city or state, and country)

  • Their IP address (To view, hover your cursor on their location)

💡 Pro Tip: You can add recipients or revoke access to your sent files even after the file has been sent.
