We do not provide data room owners and guests with a USB drive containing all files in a data room for security reasons.

As a document security and data room provider, ensuring the security of our customers' data is our utmost priority. As such, Digify does not have the ability to access and download your files in any way. Neither are any of our employees allowed to access your files for any reason.

If you require a copy of all the files in a data room as either a data room owner or guest, please see below.

For data room owners

Option 1: Export data room as .zip file

If you're a data room owner, you can export all files and folders in your data room as a .zip file with the data room structure intact. Please refer to this article for step-by-step instructions.

You may send this .zip file to data room guests who request for a copy of the entire data room.

Option 2: Allow guest to download data room files

Alternatively, you may assign these guests one of the following permissions for the entire data room:

  • Download (PDF): The guest will be able to view, print and download files as PDFs.

    • If Dynamic Watermark is enabled for the data room, when the guest downloads the files, they will be converted to watermarked PDFs based on your Dynamic Watermark settings.

    • Please note: Images will not be converted to PDFs but will be downloaded as watermarked images. Unsupported file formats for this permission include .AVI, .MOV, .MP4, .MPG, .M4V, .3GP, .WMV, .WebM, .ZIP, .EXT etc.

  • Download (Original): The guest will be able to view, print and download files in their original form.

    • The downloaded files will not have any watermarks, even if Dynamic Watermark is enabled for the data room.

    • Please note: Depending on the file format, assigning a guest this permission may allow them to edit your file (e.g. .docx, .pptx, .xlsx files) after it has been downloaded.

Please refer to this article for step-by-step instructions. Please note that assigning either of these two permissions to a guest will allow them to view, print and download all the files in your data room.

After assigning the permission to your guest, you may direct them to the next section for instructions on how they can download the entire data room.


For data room guests

Option 1: Request data room owner to send you the exported data room

As a data room guest, you may request the owner to export the data room in its entirety as a .zip file, and send you this file.

The data room owner may refer to this article for step-by-step instructions on how to export their data room.

Option 2: Request data room owner to allow you to download data room files

Alternatively, you may request the owner to allow you to download all the files in the data room by assigning you either the Download (PDF) or the Download (Original) permission for the entire data room. (See earlier section for data room owners)

Once you have either of these two permissions, follow these steps to download all the files in the data room.

Step 1: Enter the data room. Ensure that you're in the Files section (see top-right corner).

Step 2: Using the checkboxes, select all the files and folders.

If there are too many files and folders to select manually, you may use this trick to select all of them at once:

  • Select the top-most checkbox (i.e. first file or folder in the list).

  • Scroll until the last item (i.e. last file or folder in the list) in the list.

  • While pressing on SHIFT on your keyboard, select the checkbox for the last item.

  • All of the files and folders in this page should be highlighted in blue.

Step 3: In the floating menu that appears, click on Download. This will download all of the selected files and folders onto your computer or device as a .zip file.
